Prescribe ("pSc", "us", "we" or "our"), the medical transcription division of InventAsia Limited, has always been committed to respecting your privacy in the highest form and that we are compliant with all Data Protection laws in the Countries in which we operate.

We are an ISO 27001 (Information Security Management System) and ISO 9001 (Quality) accredited company and have achieved level 3 (100%) compliance in the NHS IG Toolkit.

Our websites (https://prescribe-digital.com and https://invent-asia.com) including our proprietary web application we call eDoc v10™ (https://prescribe-transcription.uk) only store processed data within our UK-based servers hosted in secure ISO 27001 accredited data centres.

We do not collect any personal information other than the information you submit to us with your consent.

We are providing you with this Privacy Notice so you can better understand the data we collect and how we use it; in order that you can make informed decisions on how you want us to use such information, including the audio that you upload to our secure eDoc v10™ web application for transcribing.

 

What data do we collect?

We may collect the following information:

  • Your name and job title

  • Your business/organisation (e.g. NHS) information including email address, business telephone numbers and business address

  • Other information relevant to your account with us if you are a (Prescribe) InventAsia Customer or a job applicant applying through our Careers page

  • Audio files you have securely uploaded through our eDoc v10™ web application or a third-party technology application in use and approved by your business or organisation

Should you decide that you want to delete any of the above information from our system, please send an email to dataprotection@prescribe-digital.com using the subject line – Personal Data Opt-Out.

If you believe that any information that we are holding on you is incorrect or incomplete, please send us an email at the above address. We will promptly correct any information found to be incorrect and confirm that to you by return email.

 

What we do with the information we gather?

We require the following information to understand your business or organisation needs to provide you with the best possible service, in particular for the following reasons:

  • Internal record keeping

  • Processing your orders

  • Data processing including conversion of dictated audio into text

  • Providing you with an efficient customer support service

  • We may use the information to improve our products and services

  • We may periodically send promotional emails about new products or other information which we think you may find helpful, using the email address we have at the date of this notice or otherwise as subsequently instructed by you.

  • Job application processing

Prescribe or InventAsia will never disclose your data or information held on file to a third party without your consent.

Security

We are committed in making sure that your information is secure.  In order to prevent a security breach and unauthorised disclosure, we have hardened our IT infrastructure and have in place globally accepted physical, electronic and organisational measures to safeguard and secure the information we collect online.

Our websites and web application use 256-bit AES encryption to ensure that all information submitted to us online remains secure and confidential.

 

Data Retention

We only retain your information e.g. transcribed files as long as you want us to (e.g. as long as you continue to use our services).  It is as simple as that.

For transcription, as a default we store any work processed for three months after which transcribed files are automatically deleted from our servers permanently.  You may send us a request if you want us to store your work longer than the three months or if you want a shorter retention period, or even no retention.

 

Changes to this Privacy Policy

Prescribe may occasionally make changes to this policy. When we make material changes to this policy we shall provide you with a prominent notice of these changes as appropriate under the circumstances e.g. by displaying a prominent notice on our eDoc v10™ log in, or by sending you an email. We may notify you in advance.

 

How we use Cookies for the collection of website usage

Cookies are small files that are placed on your computer by websites that you visit or certain emails you open. They are widely used in order to make websites function properly, as well as to provide business and marketing information to the owners of the site.

Why do we use Cookies?

We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Overall, cookies help us provide you with a better website, by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.
